Privacy Policy – TerraForge4x4

Privacy Policy

Last updated: 12 September 2026.

This Privacy Policy explains how TerraForge4x4 collects, uses and stores personal data when you visit terraforge4x4.com, contact us or place an order.

TerraForge4x4 is a Dutch sole proprietorship, KvK 61403423, responsible for this processing. Address: Koningsplein 9 A, 1781 KK Den Helder, Netherlands. Contact: info@terraforge4x4.com or +31 6 83773043.

1. Data collected

  • Name and billing/delivery address: to identify the customer, issue invoices and deliver orders.
  • Email address and telephone number: for order confirmations, customer support and delivery contact where needed.
  • Order and payment information: products purchased, amounts, transaction references, payment status and bank details where needed for transfers or refunds.
  • Account and support information: account details, correspondence and vehicle information or photographs you choose to send for fitment advice or a claim.
  • Technical information: IP address, browser information and website/session data where processed to operate and protect the shop.

2. Purposes of data processing

We use order and contact data to process purchases, arrange delivery, answer fitment questions, provide account services and handle returns or warranty requests. This is necessary for our contract with you or steps you request before purchase. Required order details are needed to complete and deliver an order.

Financial records are also processed to meet legal accounting obligations. Our legitimate interests in responding to general enquiries, operating a secure website and handling legal claims provide the basis for the relevant support and security processing. Where a use requires consent, it must be requested separately and may be withdrawn.

Information comes from you, your use of the website and relevant payment or delivery updates. Please do not email card security codes or unrelated sensitive documents.

3. Data storage and technology partners

We share the information needed to provide our services with hosting and email providers, payment providers, delivery services, and advisers or authorities where required for accounting or legal matters. Access should be limited to the relevant task. Providers processing data on our behalf must be covered by appropriate data-processing terms; some payment providers and authorities also process information under their own legal responsibilities.

  • Hosting and email: STRATO services support the website and business email.
  • Online payments: the shop currently has WooPayments enabled. Depending on the payment method you select, payment information is handled by the payment service and the relevant banking or payment-method partners. We receive the transaction information needed to manage your order. See Automattic’s privacy information and Stripe’s privacy policy. Payment providers may perform their own fraud or eligibility checks; their notices explain these.
  • Bank transfers: our business bank receives the account and transaction information required to receive or refund a transfer.
  • Delivery: the carrier or shipping service handling your parcel receives the recipient name, address and contact details needed for delivery and tracking.

4. Cookies and similar technologies

The shop uses technologies needed for functions such as the shopping basket, checkout and login. WooCommerce’s standard basket-change cookies last for the browsing session; its customer-session cookie normally lasts up to two days. Actual cookies depend on the features used. Blocking necessary cookies in your browser can prevent basket or account functions from working.

Non-essential tracking and advertising technologies require a separate assessment and, where required, your prior consent. Accepting a privacy policy or placing an order is not consent to advertising tracking.

With your permission for the Marketing category, WooCommerce records how you reached the shop, including referring pages, campaign information and session details, to help us understand which channels lead to orders. You can accept optional cookies, reject them, or choose categories in our consent banner. Use Cookie settings at any time to change or withdraw your choice. Essential shop and payment technologies remain available when you reject optional cookies. Google Ads is connected through Google for WooCommerce for conversion measurement. Complianz blocks the external Google tag until you consent to Marketing cookies. The plugin also integrates with the WP Consent API to receive cookie preferences. You can withdraw consent using Cookie settings; reload the page afterwards to stop a previously loaded tag. Withdrawal does not undo data already sent. TikTok advertising has not yet been connected. Reddit and Snapchat integrations remain disabled.

We use Complianz to remember your cookie preferences and communicate them to WooCommerce through the WP Consent API. See our Cookie Policy for further information and consent controls.

5. Newsletters and build photographs

Newsletter registration and the MailPoet email marketing module are currently disabled.

MailPoet email-open and link-click tracking are not active. We continue to send essential messages about purchases, payments, delivery and customer support. If we introduce a newsletter, we will explain the subscription choices and any associated tracking before you sign up.

If you submit photographs or a vehicle story for publication in Our Builds, we will agree the permitted use with you before publication. Avoid sharing images containing other people, number plates or location details unless you have permission and want those details included. Where publication relies on your consent, you can withdraw it by contacting us.

6. How long we keep information

We keep information for the purpose for which it is needed, taking account of legal obligations and outstanding claims. Core Dutch accounting records generally have a seven-year retention requirement. A different legal period may apply to particular records, including certain VAT schemes.

Account information is needed while the account is maintained; closing an account does not remove order records that must be retained. Support and warranty correspondence is kept for as long as the case and relevant legal claims require. Security logs and backups need limited retention appropriate to their operational purpose.

Pending-payment, failed and cancelled orders are scheduled to move to the WooCommerce trash after six months.

Order, payment and invoice information forming part of our core accounting records is retained for the statutory seven-year period, starting when the information is no longer current for the administration. Records remain available for longer where another legal obligation or an unresolved claim requires this. Unnecessary personal information is removed once its applicable retention period ends.

7. International data transfers

Some service providers may process data outside the EEA. Where this occurs, the transfer must have an applicable legal safeguard, such as an adequacy decision or appropriate contractual safeguards. You may contact us for information about safeguards applicable to your data.

8. Your rights

You may request access, correction, erasure, restriction and, where applicable, a portable copy of your data. You can object to processing based on legitimate interests and to direct marketing. Where processing relies on consent, you may withdraw consent without affecting earlier lawful processing. Some information must still be retained to meet legal obligations.

Send requests to info@terraforge4x4.com. We normally respond within one month. If a permitted extension is necessary, we explain this within that month. We may ask for proportionate information to verify your identity; do not send a passport copy unless a specific need has been established.

You can complain to the Dutch Autoriteit Persoonsgegevens or the competent supervisory authority in your country.

9. Security and updates

Access restrictions, secure connections and appropriate maintenance are important safeguards for webshop data. No internet service can guarantee absolute security. Contact us if you suspect misuse of your account or personal information.

We update this policy when our services or processing change. The published version will show its latest revision date.
